Let's increase the efficiency of merchandise sales with online payments and on-site pickups via "Onsite PIckup Events". To increase the efficiency of merchandise sales with online payments and on-site pickups, let's register an 'On-Site Pickup' event. (This service is only provided to the PLUS plan.)

👉 Manage Onsite Pickup

  • You can check the list of registered onsite pickup events.
  • You can check each event on the "Registered" and "Temporarily saved" tabs.
  • Use the right search (Event ID Search, Visibility status Selection) to set filter conditions.
  • In the list, you can see Event information (Name, Timezone), Visibility for onsite pickup event, Last modified date, and Event ID. Clicking on the event name will move you to the detailed information window.

🎪 Onsite Pickup Event Settings

  • Onsite pickup enables customers who've pre-ordered online to pickup their purchases in person at an offline event or rounds. Set up an event & round and link the onsite pickup product.

 

✔️ Basic Information

  • Provide basic information for the onsite pickup event.
  • Event name (required)
    • Please enter the name of the event.
    • If you have selected more than one service language, you can add multiple languages. If not added, the content would be presented in the default language.
  • Thumbnail (Required)
    • Upload the thumbnail image of the event.
    • The recommended size is 800x800 pixels (16:9 ratio), and supports JPG, PNG, and GIF formats up to 10MB.
  • Additional details
    • Enter additional details.
    • Highlight your event’s features, including subtitle, location, and promotional copy. (The description will appear under the onsite pickup title.)

 

✔️ Detail Information

  • Provide detail information for the onsite pickup event.
  • Base time zone (required)
    • Please enter the time zone of your actual ‘event location’. Once the time zone is set, all date information entered will align with that time zone. Please note that the time zone cannot be edited after initially saving the event.
      • In the actual b.stage, event times are displayed in the time zone set by admin and do not automatically convert to customer’s time zone. Daylight Saving Time is not supported.
  • PG proof address (required)
    • Enter PG proof address. Once the event is saved, the proof address cannot be edited. (You can enter the location of the onsite pickup booth at each round.)
  • Voucher logo
    • Please upload a logo that will be displayed at the bottom of the voucher. If no logo is uploaded, your b.stage name will be displayed.
    • Logo guide
      - Recommended size: Apply proportions with a max height of 32px
      - Supported format: PNG
      - Up to 5 MB
  • Visibility for onsite pickup event
    • You can set the visibility of onsite pickup event on SHOP. To display, link onsite pickup URL in SHOP > Banner.
    • When changing to display, please ensure the product is linked and invisible to customers. We recommend making this change after completing the set up in ‘Manage Round Products’.
    • When set to private, the entry point will be hidden from customers. (However, this may occur if the product detail page is accessed through the URL of the onsite pickup product. If you don't want this, set the product to 'private' too.)
    • You can specify among Display Now / Schedule Display / Private / Display End Date.

  • Please provide a detailed description of your event in the editor.

After confirming all information, click [Register] in the upper right corner.

 

👉 Round Settings

⏱️ Round Settings

  • After registering rounds and onsite pickup booth information, link desired products and event & round in Manage Round Products. (Up to 5 Rounds can be registered.)
  • Press the [Add] button to add a round.

 

  • Round name (required): Ensure that rounds are easily distinguishable for customers. (e.g., Round 1, Round 2)
    • If you have selected more than one service language, you can add multiple languages. If not added, the content would be presented in the default language.
  • Pickup date (required): Please choose the date and time. The end date can also be selected to be displayed together.
  • Onsite pickup booth location (required)
    • For customer display: This is where your customers will see it, so ensure it’s easy to understand. (ex. KSPO DOME East Exit, Olympic Park)
    • Map URL (optional): Map URL address can be displayed if needed.
    • Map image (optional): Provide a map for customers to locate the booth.
      • Recommended size: 1280*720px (16:9 ratio), supports JPG, PNG, GIF up to 5MB.
  • Notes: Share important information and notes for your customers (up to 500 characters)
  • Cancellation restriction: Apply the time zone you selected for the event period. b.stage will automatically adjust to the user’s browser time zone. You can’t edit it once the first order is placed. 
  • Detailed Description: Provide a detailed rounds and pickup booth description in the editor, for display as ‘Instructions’.
  • Round open status: The round open status is saved as ‘Preparing’. After linking products to event & round, you can change the round open status in the Onsite Operations tap.

 

✔️ Rounds list

  • View the list of registered rounds.
  • In the list, you can check each Round's ID, Basic Information (name and pickup date/time), Cancellation restriction, and Round open status. You can arrange them by dragging and dropping, as they appear in the same order in the event category. You can’t delete or change the order after initially registering the event, so please review it carefully before saving.
  • Press the [⁝] icon on the right to link or unlink the event and delete the round information.

 

✔️ Purchase Confirmation

  • Please check the details of purchase confirmation and cancellation based on the round settings.

After confirming all information, click [Save] in the upper right corner.

 

👉 Manage Round Products

  • You can add up to 100 types of onsite pickup products per round. Set the product’s round link status, display order, and additional information. Remember to save product information for each round.
  • If you can't find the product you want, click the shortcut on the right to add it.

 

  • Click on each round tab to view information such as round name, pickup date and time, booth location, number of linked products, and round open status.
  • Use the right search (Product ID search, Display Status selection) to set filter conditions.

 

✔️ Product list

  • View the list of linked products.
  • In the list, you can check each Product ID, Product Info (Thumbnail, Product name, Option name, Sales and Display Status), Standard Price, and Rounds link status. You can also change the order of rounds through drag & drop. 
  • Click on the note icon to enter additional note for internal management (e.g., Pickup Zone A-12, Limited Quantity 200, etc.).
  • Press [Edit available quantity for sale] to individually modify quantities by option and rounds using the add/deduct (±) input method. Total sales figure is not updated in real time and may differ from the actual amount.
    • Changes to the available quantity for sale will be immediately visible to your customers.

After confirming all information, click [Operate] in the upper right corner and move to the [Onsite Operation] page.

 

👉 Onsite Operations

  • Manage open status for each round and operate onsite pickup booths where actual pickups occur. Please set up based on the onsite situation.

 

  • Send Notification
    • You can send notifications to a selected round of customers. Please note that notifications cannot be canceled once sent. (When sending push notifications, they arrive sequentially, potentially causing timing variations.)
      • Round: Please select the desired round.
      • Sending messages: Advertisements are not allowed, only messages in the specified format can be sent.
        • Your order is ready for pickup at the onsite location.
        • Got this message? Pick up your item at the booth now.
        • Onsite pickup closing soon. Visit the booth to pick up your items.
        • Onsite pickup has closed.
  • Bulk Cancel Orders Before Pickup
    • When you bulk cancel orders before pickup, the customer’s order status will change to Canceled. To check the status, go to Onsite Pickup Orders (Make sure to update the booth availability status for onsite conditions.)

✔️ Manage onsite pickup booths

Please apply the round information and onsite pickup booths information for each round.

  • Round open status: You can change the order availability status of a product linked to the round. First, link the product you want to sell to the events & rounds, then change the status to Open.
    • Preparing: Customers can't access or order the product linked to the round.
    • Open: Customers can order the product linked to the round.
    • Closed: Customers can't access or order the product linked to the round. Also, when the status is Closed, you can't place the orders for the products in your cart.
      • Items eligible for purchase confirmation: When "Cancellation restriction" is set - Purchase confirmation can be applied when the cancellation deadline has passed.
        • Pickup completed orders
        • Before pickup & Pickup completed orders
  • Pickup notifications by zone
    • You can send 1 pickup push notification to customers based on their order sequence. (To resend notification for items before pickup, click ‘Send Notification’ button at the top of Onsite Operations.)
    • Order completed & before pickup: The number of orders that meet the sending conditions based on the point of inquiry.
    • Before sending: The number of orders after the last order number sent at the point of inquiry.
    • Sent: The number of orders up to the last order number sent at the point of inquiry.
    • Total order completed & pickup completed: The number of orders that meet the conditions for order completion and pickup completion based on the point of inquiry.
    • Sending orders: Up to 100 push notifications can be sent.
    • Sending messages: Advertisements are not allowed, only messages in the specified format can be sent.
    • Cautions
      • When sending push notifications, they arrive sequentially, potentially causing timing variations.
      • When sending, push notification messages may not be sent to some customers based on internal policies.
      • After sending the notification, it cannot be canceled.
  • Complexity status
    • You can select one of the statuses: Not too crowded, Normal, Crowded, Very crowded, to inform customers of the current situation.
  • Pickup availability
    • Show the product pickup availability(Pickup ready, Pickup available, Pickup unavailable, Pickup closed) at the actual onsite pickup booth where customers can pickup their products.
  • Round notice
    • Enter any notices for customer picking up their products (Selectable Private/Displaying)

  • You can change product information in both Manage Round Products and each product detail.

ⓐ Upon the initial login of the Onsite operator account (stage-specific), you will land on a page where you need to input additional information needed for event operation. You can make changes in your profile after the initial entry.

  • When order is completed, it is recorded in History in the order details along with additional information you provided.

ⓑ Select event & round to operate.

ⓒ After completing the above step, the camera for reading QR Codes will be activated. If QR Code unrecognized, manually enter the order number.

  • In the case of simultaneous access, an alert will be provided. For example, if onsite operator A is processing orders 1, 2, 3, and onsite operator B attempts to process orders 1, 2, 3, an alert will be generated.

ⓓ For orders retrieved by QR Code or order number, you can collectively verify the quantity and additional information for each pickup item and obtain Customer signature.

  • Only products before pickup will be confirmed.
  • You can verify the most recent signature in the customer signature field. (To check signatures by product, go to the product section at the top.)
  • After signing, remind the customer of the cancellation policy and inform them that this signature applies all selected order.
